The booking process includes submitting cargo details (product name, volume, and required transit time), confirming rail space and quotation, signing the service agreement, cargo preparation, and customs declaration. During the low season (January–March), booking around 7 days in advance is recommended. During peak seasons (July–September), it is recommended to reserve China-Europe Railway Express capacity 15–20 days in advance. Transit time depends on the specific route. For example, Zhengzhou to Hamburg takes approximately 15–20 days, Xi’an to Moscow takes around 15–20 days, and Yiwu to Almaty takes about 13–15 days. Compared with sea freight, rail transportation can save around 20–25 days, while offering a significantly lower cost compared with air freight. During peak seasons, transit time may be extended by 2–3 days due to capacity changes or operational factors.

Door-to-door shipping costs typically include domestic pickup, container handling charges, export customs clearance fees, China-Europe Railway Express freight charges, European import customs clearance fees, and last-mile delivery costs. Quotations are calculated based on cargo volume (FCL or LCL), shipping route, and required transit time. If customs inspection occurs, our customs specialists will assist with the process and coordinate any additional documents or cargo verification required by customs authorities. Standard customs inspections usually take around 1–2 working days and generally do not cause significant delays to China-Europe Railway Express transit schedules.

For shipment delays, we provide updated tracking information within 24 hours and coordinate alternative rail routes or available capacity when necessary. In case of cargo damage, we assist with reporting within 24 hours, collecting photos and evidence, and submitting a written incident report to the railway operator. A third-party assessment may be arranged to determine the loss and liability among the railway operator, logistics provider, and insurance company. Claims are processed according to international railway transport regulations and applicable insurance terms with required documents, including invoices, insurance policies, and assessment reports.

China-Europe Railway Express can handle various types of cargo, including general dry container cargo, compliant chemical products, and medical equipment within permitted categories. Requirements may include railway transport identification documents, specialized packaging such as anti-explosion or shock-resistant protection, and advance declaration for sensitive cargo transportation plans. Cargo details should be provided in advance to confirm compliance and ensure smooth transportation.

The general requirements include a valid VAT number and EORI number, which are essential for customs clearance within the European Union. Special cargo, such as food products, may require additional documents including local sanitary and inspection certificates. Customers authorizing us to handle customs clearance need to provide a signed Power of Attorney (POA).

For FCL shipments, cargo weight should be evenly distributed, oversized cargo should be properly secured, and container doors must be sealed before shipment. For LCL shipments, each shipment should be clearly labeled and properly separated to avoid cargo mixing. Lightweight goods should be placed on top, while heavier goods should be loaded at the bottom. The standard transit time is approximately 26 days for direct services (such as Ningbo to Wilhelmshaven). Actual transit times may vary by around ±3 days depending on operating conditions. Extreme weather, port congestion, or customs inspections may cause additional delays of approximately 1–7 days. To reduce potential delays, we recommend allowing a 3–5 day buffer period and choosing coordinated loading and inspection services to shorten port handling time.

Direct express services usually have higher costs due to faster sailing schedules compared with traditional transit options. Additional charges may include port fees, fuel surcharges, and terminal handling charges. To control costs, customers can consider annual contract rates, calculate potential surcharges in advance, and reduce the average transportation cost through bulk FCL shipments.

European ports commonly apply a maximum gross container weight limit of around 30.48 tons. Overweight containers may be rejected for unloading or incur additional overweight surcharges. To avoid issues, cargo weight should be verified before loading. If overweight cargo is expected, it should be declared in advance and arranged with suitable overweight container capacity.

Dangerous goods have limited transportation capacity, and shipments with incomplete or incorrect documentation may be rejected, rolled over, or delayed. Transportation of lithium batteries and other regulated cargo is subject to strict IMDG and applicable safety regulations. To ensure smooth shipment, customers should provide compliant documents, choose qualified carriers, and confirm available capacity in advance.
